What happens if my patient is donating for the imaging test?

If your patient chooses to donate the cost of their imaging test, this generous action allows the test to bypass the need for committee review. Encourage patients who are able to afford their imaging studies to consider this option, as it streamlines the process and supports the program’s ability to assist others.

Do imaging tests still need committee approval if my patient is donating for the test?

No, if a patient donates the cost of the imaging test, the need for committee approval is bypassed. This facilitates a quicker process for the patient to receive their needed imaging study. However, they must donate the full cost of the test. Unfortunately, we are not able to take partial donations at this time to bypass committee approval.

How long does the committee approval take?

The committee meets every Monday to review requests. The prescriber and attending physician will receive an email within one week, informing them of the committee’s decision. This timely response ensures that necessary imaging tests are not unduly delayed.

When do I place the order for the imaging test?

You should place the order for the imaging test after receiving approval from the committee. If the patient donates the cost of the test, you may only place the order once the donation is complete. If patient donates a couple of days after their appointment a staff member from St Vincet’s will contacat you to place the order once the donation has been completed.

For tests that require approval, please wait until you have received notification of approval, which will be communicated through your Epic In Basket and email.

Who should apply for imaging funds?

The prescriber or attending physician responsible for the patient’s care should apply for imaging funds. It is important to exercise prudence and request funds only for those tests that will significantly impact the medical management of the patient.

What do I do if my patient’s imaging test is denied by the committee?

If the imaging test request is denied, explore other funding options or alternatives for your patient. Encourage patients who are unable to afford the test to explore Casebook and Indigent care as potential resources. These options may provide the necessary support for patients who need further specialty care if the study is positive.

Depending on the approval status, you may order the studies via Epic following the instructions at the end of the form. **The imaging studies will be performed and scheduled by UTMB.
